If the person is not a board member, and therefore not required to attend the meeting, then simply remove them from the agenda by clicking on the down arrow beside their name and select Remove.

We need to show attendees, apologies, and absentees because if a person misses 3 meetings without giving a written apology they may be expelled.
You can just remove them from the meeting. I think from memory right click on the name and you get the option to either remove from memory ot delete.
